Kaizen Event Supplies Checklist: What to Prepare Before Your Lean Workshop
A well-run Kaizen event starts before the team enters the room. The right materials keep participants focused on the process, make problems visible, and help the team move from observation to tested countermeasures without losing momentum.
Use this practical checklist to prepare your next Lean workshop.
1. Define the challenge and expected outcome
Confirm the problem statement, scope, customer requirement, baseline performance, event sponsor, process owner, participants, and measurable target. Bring current data for safety, quality, delivery, cost, productivity, and customer impact.
2. Prepare process-mapping supplies
Stock large-format paper or wall space, sticky notes in several colors, index cards, painter’s tape, markers, dot stickers, rulers, and process-map symbols. These materials support current-state mapping, waste identification, future-state design, and action planning.
3. Bring A3 problem-solving materials
Provide an A3 template, problem definition, current-condition data, root-cause tools, countermeasure tracker, owner assignments, due dates, and follow-up measures. Keep the A3 visible throughout the event so decisions remain tied to evidence.
4. Set up observation and measurement tools
Prepare stopwatches, tally sheets, spaghetti-diagram templates, cycle-time forms, standard-work combination sheets, line-balance charts, and a camera where permitted. Verify any required safety equipment before going to the process.
5. Create a visual management area
Reserve wall space for the event charter, agenda, current-state map, opportunity list, future-state design, daily targets, risks, decisions, parking-lot items, and the 30-day action plan.
6. Plan for rapid experiments
Have basic prototyping materials available, including cardboard, foam board, tape, labels, bins, mock fixtures, and temporary floor markings. Small tests let the team learn quickly before committing capital.
7. Prepare the team for execution
Confirm the facilitator, sponsor check-ins, subject-matter experts, shift coverage, meeting space, meals, technology, and daily report-out schedule. Communicate what participants should bring and how success will be measured.
